10 Intake Photos Every Collision Repair Shop Should Capture Before Touching the Car

A vehicle comes in for bumper and quarter panel damage, blueprinting starts, the supplement grows, and at delivery the customer points to a scratch near the wheel opening and says it was not there before. That is how a simple repair order (RO) turns into a credibility problem. In a collision repair shop, intake photos are not just documentation. They protect the workflow before repair decisions, parts orders, and customer questions start piling up.

Most collision repair shops do take photos, but not the same way every time. One estimator gets the odometer and warning lights. Another only grabs the damaged panel. Someone documents the hit, but misses the unrelated bumper scuff or interior tear. When that happens, the collision repair shop is forced to rely on memory after teardown, supplement approval, or pickup tension has already started.

Every repair order should have the same intake photo set:

  • Full walkaround: four corners, side shots, front, and rear
  • Close-ups of all visible damage tied to the repair
  • VIN plate and odometer
  • Dashboard warning lights, including airbag, ABS, and ADAS messages
  • Interior condition around the driver area and visible trim
  • Wheels, tires, and any unrelated pre-existing damage
  • Fuel level, keys, wheel locks, and accessories when relevant

The goal is not to flood a phone with random pictures. The goal is to create a clean condition record that stays attached to the right RO, is easy to retrieve, and helps the team answer questions fast. That matters when a supplement is challenged, when a customer disputes a mark, or when delivery turns into a conversation about what was already there.

The real fix is standardization. Put the photo list into intake, train every estimator the same way, and audit files weekly. In a modern collision repair shop, the camera is part of repair order control. The best time to document the truth about the vehicle is before anyone touches it.
